Getting Started
01. What does EmailPitStop do?
EmailPitStop specializes in professional email production. We turn approved email designs into hand‑coded HTML email templates, test them across email clients and devices, and prepare them for your ESP or email platform when needed.
We also support Outlook email templates, reusable email modules, HTML email signatures, Email Template Audit & Fix, and ongoing email production.
02. Which service should I choose?
Choose an HTML Email Template for a custom email designed for use in an ESP or email platform, or an Outlook Email Template if it needs to be edited and sent directly from Microsoft Outlook.
Email Modules are a better fit for ongoing production and reusable layouts, while HTML Email Signatures are designed for everyday branded communication.
If you already have an HTML email with coding or rendering issues, start with Email Template Audit & Fix.
Not sure which service fits? Send us the details and we’ll help you choose the right setup.
03. What do I need to provide to get started?
In most cases, we need your approved email design, project requirements, and any relevant links, content, or platform details.
If you place the request through Order Now, you can also select the delivery time, layout type, ESP optimization, and any additional options that apply to your project.
We review everything before development starts and confirm the scope with you if anything needs clarification.
04. Should I contact you first or use Order Now?
Both options work.
Use Order Now when your design is ready and you want to send the project details, selected options, estimated price, and delivery time in one request.
Use the contact form at the bottom of any page if you still have questions, are not sure which service to choose, or want to discuss your project before placing an order.
05. Can I contact you before my project is ready?
Yes. You can contact us before your design or project details are fully finalized.
We can answer early questions, review the general direction, and help you understand which service, setup, or delivery option is likely to fit best. Early notice also gives us better visibility into upcoming workload and helps us prepare for your project more effectively.
06. Can you sign an NDA before I share project files?
Yes. We understand that confidential work is common in email production, especially for agencies, brands, and internal teams, so confidentiality has been built into our workflow from the start.
EmailPitStop can review and sign an NDA before you share sensitive project files or requirements. We also do not publish completed client projects on our website or use them as public examples without the client’s approval.
Design Files
01. Which design file formats do you accept?
Figma is usually the most efficient format because it makes layout details, spacing, typography, and assets easier to review.
We can also work with PSD, XD, PDF, PNG, and other common design formats. For the most accurate result, a final layered source file is preferred, but if you only have a flat file or preview, send it to us and we will review what can be done before development starts.
02. Can I send you an existing HTML email instead of a design file?
Yes. If you already have an HTML email, we can use it as a reference or starting point for the project.
Depending on its condition and your goals, we can review the existing code, rebuild it to our production standards, make it responsive, fix rendering issues, or adapt it for your ESP while preserving the original design as closely as possible.
03. Do I need to provide a separate mobile design?
No. If you only have a desktop design, we can create the mobile adaptation during HTML development.
We adjust content stacking, spacing, images, buttons, and typography for smaller screens while keeping the mobile version consistent with the original design. If you already have a specific mobile layout, you can provide it and we will follow it as closely as possible.
04. Can you review my design before development starts?
Yes. You can send us your design before development begins for an initial review from an email development perspective.
We can flag elements that may cause rendering or implementation issues, suggest practical adjustments, and help make sure the design is ready for HTML production before coding starts.
05. What if my design was not created specifically for email?
That is absolutely fine. We regularly work with designs that were created without email-specific limitations in mind.
Our experience allows us to find the right balance between the original creative direction and reliable email rendering. Where technical limitations exist, we use proven workarounds and make only the adjustments that are genuinely necessary, keeping differences from the approved design to a minimum.
If anything requires a more noticeable change, we will flag it and explain the best approach before development whenever possible.
06. Do you provide email design services?
EmailPitStop specializes in email development rather than operating as a design agency.
You can provide your own approved design or work with one of the independent email designers featured on our website. These designers work independently, and any design engagement, pricing, and terms are arranged directly with them.
Once the design is ready, we can review it from an email development perspective and turn it into a production-ready HTML email template.
Coding & QA
01. Why choose hand‑coded HTML instead of an ESP builder?
ESP builders are useful for many simple email campaigns, but they work within predefined structures and platform limitations.
Hand‑coded HTML gives us more control over layout, responsive behavior, Outlook-specific fixes, and how closely the finished template follows the approved design. It is especially useful for custom, branded, or technically demanding email layouts where flexibility and reliable rendering matter.
02. How closely will the coded email match my original design?
We aim to reproduce the approved design as closely as email technology allows, with careful attention to layout, spacing, typography, imagery, and overall visual consistency.
When email client limitations require a fallback or small adjustment, we use proven techniques to keep the final result as close to the original design as possible while maintaining reliable rendering across inboxes.
03. Will my email be responsive on mobile devices?
Yes. Responsive email development is one of our core areas of expertise, and we give the mobile version the same attention as the desktop layout.
Rather than simply shrinking the desktop design, we carefully adapt the template for smaller screens so you get a mobile version that feels intentional, clear, and consistent with the original creative direction.
Depending on the design, this can include stacking content, adjusting spacing and typography, resizing images, changing alignment, and refining individual sections for a better mobile experience.
04. Will my template work in Outlook?
Yes. Every template is built to be Outlook‑friendly from the start, with the platform’s rendering limitations taken into account during development.
If you need the highest possible level of consistency across Outlook versions, you can add Outlook Compatibility. This includes additional Outlook-specific techniques and targeted testing to minimize visual differences and keep the result as close as possible to the approved design.
05. Can you prepare the template for my ESP or email platform?
Yes. We can optimize the finished HTML for Mailchimp, HubSpot, Klaviyo, Campaign Monitor, and other ESPs or email platforms.
Where supported, we can add platform-specific markup and editable areas your team needs, helping the template import more smoothly and remain practical to update for future campaigns.
06. How do you test email templates before delivery?
Testing is built into our production process, not treated as a final afterthought.
The email developer checks the template throughout the build, and the finished version is then reviewed by QA against the approved design and project requirements. We combine real-device testing with a professional email testing platform to check rendering across a wide range of inbox environments and catch email-client-specific issues before delivery.
Workflow
01. What happens after I submit my request?
We first review your design, selected options, and project notes to make sure the scope is clear.
If anything needs clarification, we confirm it with you first. Once everything is agreed, we ask for your approval to begin production.
This is also the point when the countdown for your selected delivery option begins.
02. What delivery options are available?
For HTML Email Template projects, you can choose from 3 Business Days, 1 Business Day, or ASAP Delivery.
3 Business Days is the standard option for planned projects, 1 Business Day is designed for tighter deadlines, and ASAP Delivery is intended for urgent requests that need priority handling within 2–7 hours.
Business Days run Monday through Friday, excluding public holidays observed by EmailPitStop. If approval to begin is received outside our normal business hours, on a weekend, or on a public holiday, the turnaround starts on the next Business Day.
03. Does ASAP Delivery reduce quality or testing?
No. ASAP Delivery changes the project priority and team allocation, not the quality standard.
The template is still hand‑coded, reviewed by QA, and tested across major email clients before delivery. For urgent projects, we allocate additional production capacity so coding and QA can move faster without cutting stages from the process.
ASAP Delivery is available only after we review the project and confirm that we can meet the required turnaround.
04. Are you available during North American business hours?
Yes. Our team is based in Europe, but we maintain regular overlap with your business hours from Monday through Friday.
We use a staggered working schedule so part of the team starts earlier and another part stays available later, helping us keep project reviews, approvals, and communication moving through most of your working day.
05. Who works on my project?
A standard project is assigned to an email developer who handles the build and checks the implementation throughout development.
Before delivery, a QA specialist reviews the finished template against the approved design and project requirements. For ongoing work, we also try to keep the same developer involved whenever possible, so they stay familiar with your previous templates and project context.
06. Can I review the completed template before payment?
Yes. Once development and QA are complete, we provide a visual review of the finished template before payment.
At this stage, the HTML source files are not delivered. Instead, we share screenshots and rendering previews generated through a professional email testing service, showing how the completed email appears in selected email clients and devices.
You can review the result and let us know if anything within the agreed scope needs attention. Once the work is approved and payment is received, we deliver the final HTML template and related project files.
Pricing & Billing
01. How is the price of my project calculated?
For services available through Order Now, pricing is based on the options you select, including delivery time, layout type, and additional features.
The total updates as you configure the project, so you can see the expected cost before submitting your request. This is especially useful when you need to estimate a project in advance or prepare a quote for your own client.
02. Can the price change after you review my project?
The price shown on Order Now is based on the options you select and gives you a clear estimate before submission.
We still review every project before development begins to make sure the selected setup matches the actual scope. If anything needs to change, we explain it first and confirm the updated price with you before you approve the start.
03. Do you require upfront payment?
No. Upfront payment is not required for standard projects.
We review your request, confirm the scope, and begin development only after you approve the start. Payment is requested at the final stage, before the completed source files are delivered.
04. What discounts are available?
Clients can receive 50% off their first order for an HTML Email Template or Outlook Email Template.
The discount applies to the full project configuration on the relevant Order Now page, including any available options you select. The discounted total is shown in the Order Summary before you approve the start.
We may also offer custom volume discounts when a single larger order includes multiple email templates, especially when several templates share similar layouts or design patterns. These discounts are reviewed individually based on the scope and structure of that order.
05. Do you offer monthly billing for ongoing work?
For recurring clients, we may offer consolidated monthly billing or another billing arrangement that better fits the way your team works.
The billing cycle, payment terms, and other details are agreed separately based on the expected project volume and workflow.
06. What rights do I receive to the final files after payment?
Once full payment is received, you receive the rights needed to use, edit, reproduce, distribute, and transfer the final deliverables created specifically for your project in connection with your business.
If you are an agency, this includes the right to provide the paid deliverables to your own clients as part of the services you provide to them.
Final Files & Support
01. What will I receive when my email template is ready?
For a standard HTML Email Template project, you receive the completed HTML file together with the required optimized images, delivered as a ZIP archive through the file-sharing method that is most convenient for you.
The delivered template reflects the options selected for your project, such as responsive coding, Outlook Compatibility, ESP preparation, and other requested features. Everything is organized for a straightforward handoff into your email workflow.
02. Can you import the finished template into my ESP or email platform?
Yes. Where supported, we can import the completed template into your ESP or email platform and make sure the setup is working as expected.
Temporary account access may be required, and if two-factor authentication is enabled, someone from your team may need to provide the login code during the setup. Template Import is available at no additional cost when included with the project.
03. Can my team edit and reuse the template later?
Yes. We build templates with future use in mind, so text, images, links, and other intended content areas can be updated without rebuilding the email from scratch, while the underlying structure remains stable.
If the template is prepared for a specific ESP or email platform, we can also account for the level of editability that platform supports, making future updates and campaign reuse more practical.
04. What if I need changes after delivery?
You have 7 calendar days after delivery to review the final files and report any reproducible errors or issues that do not match the agreed design, requirements, or project scope. We will correct those issues at no additional cost.
We also try to keep small post-delivery adjustments simple. If you need a minor text change or image replacement, we can usually help fine-tune the final result to better match your expectations.
If you need a more substantial update that goes beyond the original scope or design, such as new content blocks, functionality, or changed requirements, we will review the request first and confirm any additional cost and turnaround before making the changes.
05. Do you provide support after delivery?
Yes. If you have questions about using, editing, or implementing the delivered template, you can contact us after the project is complete.
We can help clarify how the template is structured, answer questions about the delivered files, and assist with practical setup or usage issues. If your request requires additional development outside the original project scope, we will let you know before any extra work begins.
06. Can EmailPitStop support ongoing email production?
Yes. We can support recurring campaigns, multiple upcoming projects, and longer-term email production workflows for agencies, brands, and internal teams.
We can adapt the setup around your expected volume, turnaround needs, preferred communication process, and the type of production support your team needs over time.
